Export documents
In the viewer, you can export selected documents using the Export Document Action. An export template defines the settings to use in the export. When exporting documents, you can select an existing export template, create a new export template to use, or modify an existing export template. You can export documents with a Document State of Processed or Promoted. Documents in any other state cannot be exported.
Perform the following procedure to export documents.
- In the Project page, click .
- Select the documents to export.
- In the pane, click .
- In , type a name to identify the export job.
- In Select Export Action, select Export Documents.
- In , you can choose an existing template, create a new template, or modify an existing template.
- Select an existing template.
- To create a new export template, click and define the template using the following fields.
- In , provide a name.
- In , select one or more fields and click to add them to the export list on the right. In the export list, click to move it up in the hierarchy, to move it lower in the hierarchy, or to remove it from the export list.
- To select multiple contiguous fields, select the first field, then hold Shift and select the last field.
- To select multiple non-contiguous fields, select a field, then hold Ctrl while selecting additional fields.
- In , select how to process duplicates.
- to include duplicates.
- to include only unique filtered documents in the collection.
- to include only unique filtered documents assigned to each custodian.
- In , select , , , or Images. With the Images option, you download the original images in PDF format.
- In , when is selected, you can choose how the system reacts if an exported document does not contain extracted text. Under , in , select one of the following options.
- Choose , the default, to include blank text files in the export file set.
- Choose to exclude blank text files in the export file set.
- Choose to include a text file that contains your custom placeholder text. In , type the placeholder text to display, with a maximum of 255 characters. The placeholder text can include special characters.
- In , when is selected, you can choose how the system reacts if an exported document does not contain extracted text. Under , in , select one of the following options.
- In , if you want to export the documents without promoting them, select . To export and promote the documents, select .
- Click to save the new export template.
- To modify an existing template, select the template and click . Modify the settings as needed, and then click .
- Uncheck the Include Family checkbox if you do not want to export the family documents of the selected documents.

To save the exported documents in DataHub, select the DataHub checkbox under Download From.

The system saves the exported documents in DataHub as a zip file by default. Using DataHub, you can only download one file at a time. This format enables you to download the export as a single, ZIP file from DataHub. If you want to download individual files from an export, you can save the documents as individual files in the export folder; uncheck the Export as Zip checkbox that appears when you select the DataHub checkbox.

- After completion, go to the DataHub or Desktop Client to download the exported documents to your computer.
